What this email writer does

Describe what the email needs to say, choose a type (professional business, follow-up, thank you, complaint, request, apology or cold outreach) and a language, and the tool asks an AI model to draft the email with a subject line. You can type the description or dictate it with the microphone button (voice input works in Chrome). The languages available are English, Arabic, French, Spanish, Urdu and Hindi. Behind the scenes, the tool sends your description and your two choices to the model with an instruction to write a clear, professional and effective email, so the quality of the draft depends mostly on the quality of what you tell it.

What to put in the description

The model only knows what you tell it. Include four things: who the email is to, what you want to happen, the key facts that must appear, and the tone you want.

  • Too vague: "follow-up email".
  • Better: "Follow-up to a hiring manager two weeks after a first interview for a marketing role. Thank them, say I am still very interested, and ask when I might hear back. Polite, short."
  • Complaint, too vague: "complain about my order".
  • Better: "Complaint to an online shop: order arrived on 3 October, one of two items is missing, I want the missing item sent or a refund. Firm but polite, ask for a reply within 5 working days."

Put real names, dates, order numbers and amounts in your description. Otherwise the model will invent placeholders or, worse, plausible details that are wrong.

Before you send

  • Check every fact. Names, dates, amounts, promises and deadlines must be yours, not the model's guesses.
  • Make it sound like you. Drafts can be stiff or over-polite. Shorten it and swap in the words you would normally use.
  • Check the tone for the relationship. A message to a close colleague and one to a regulator should not sound the same.
  • Have a fluent reader check non-English drafts. Quality can vary between languages, and Arabic, Urdu and Hindi drafts in particular are worth a native speaker's glance before anything formal or legal goes out.
  • Add the attachment or link you mention. The tool writes text only.

Privacy and checking the result

Your text is sent to an AI language model through our AI provider (OpenRouter) so that it can write the answer. Do not paste passwords, ID or card numbers, medical details or confidential company information. AI text can contain mistakes, invented facts and generic phrasing, so read the result and correct it before you use it. You are responsible for what you send or publish.
